Terms of Service

Effective 26 August 2026

These terms apply to all work carried out by Quil unless a signed agreement says otherwise. Accepting a quotation, whether by written confirmation or by payment of the deposit, means you agree to them.

VAT

Quil is not a registered VAT vendor. No VAT is charged on quotations or invoices.

Quotations

Quotations are valid for 30 days from date of issue. A quotation covers the scope described in it and includes two rounds of revisions. Additional revisions or work outside the agreed scope are quoted separately.

Payment on projects

  • A 40% deposit is payable before work commences.
  • Work begins once the deposit reflects.
  • The remaining 60% is invoiced on completion and is payable before delivery of final files, access, or handover.
  • Invoices are payable within 7 days of date of issue.

Payment on retainers

Retainer fees are invoiced monthly in advance and are payable by the 1st of the month. A retainer covers the agreed monthly scope. Unused allocation does not carry over. Either party may terminate a retainer on 30 days written notice, with fees for the notice period remaining payable.

Overdue accounts

Where an account remains unpaid after the due date, Quil may suspend all work and withhold deliverables until the account is settled. Timelines shift accordingly.

Payment details

Please use the invoice number as your payment reference and email proof of payment to accounts@quil.co.za.

Third-party costs

Domains, hosting, licences, stock assets, plugins, and advertising spend are billed at cost and are payable in advance. They are not included in a quotation unless expressly stated.

Timelines and client materials

Timelines assume content, brand assets, approvals, and access are supplied by the agreed dates. Where a project is delayed by more than 30 days due to outstanding client material, Quil may invoice for work completed to date and reschedule the balance.

Ownership

Ownership of final deliverables transfers to the client on receipt of full payment. Quil retains the right to feature completed work in its portfolio unless otherwise agreed in writing.

Cancellation

The deposit is non-refundable. If a project is cancelled after commencement, work completed to date is invoiced and payable.
